Creating and Using Tags for Appointments and Patient Forms

Tags help organize, classify, and track appointments and patient form submissions more effectively in the Treatspace platform. This guide outlines how to create, assign, edit, and delete tags in three main areas: SettingsAppointment Dashboard, and Patient Forms Dashboard. It also highlights the permission requirements for managing tags.



1. Creating and Managing Tags via Tag Manager (Settings) 

To centrally manage your tags, use the Tag Manager in the Settings area:

  1. Navigate to Settings > Tags.

  2. Click the New Tag button.

  3. Choose a tag colorname, and optional description.

    • Example: Tag name: Foreign Object, Description: This patient feels they may have a foreign object in their eye.

  4. Click Create Tag.

  5. To edit an existing tag:

    • Click the tag name to open a sidebar with editing options.

  6. To delete a tag:

    • Click the trash icon next to a tag.

    • Confirm deletion.

? Tip: You can view how many times each tag has been used from this screen.



2. Using Tags in the Appointment Dashboard

Tags can be added or created directly from the Appointment Dashboard in two ways:

A. From the Appointment Detail View

  1. Go to Appointments > Appointments.

  2. Choose an appointment and click the Appointment Details icon to open the pop-out.

  3. Under Tags, click the + icon to:

    • Select existing tags, or

    • Click Create New Tag to define a new one (e.g., Referred by Dr. Smith).

  4. Once selected, tags will appear on the appointment card.

B. From the Appointment List View

  1. Navigate to the far right of your Appointment Dashboard and click the Add Tag button directly on the list view.

  2. Select or create a new tag (e.g., Glaucoma Patient or Referral: Dr. Smith).

This allows for fast tagging and updating without navigating away from the dashboard.



3. Tagging in the Patient Forms Dashboard

The Patient Forms Dashboard also supports tagging—ideal for categorizing new patient intake, consent forms, and other non-appointment-based documents.

  1. Open Patient Form > Submissions.

  2. Navigate to the far right of your Patient Forms Dashboard and click the Add Tag button directly on the list view.

  3. Click Add Tag, then:

    • Choose from the tag library, or

    • Click Create New Tag.

      • Example: Create a red tag named Unhappy Patient to flag low survey scores.

  4. Click Save to assign the tag to the form entry.



Permission Requirements

Only users with the "Tags" permission enabled in their user profile can edit or delete tags.

To enable:

  1. Go to Settings > Users.

  2. Select the user profile.

  3. Check the Tags permission box (e.g., “Customize Tags”).

  4. Click Save.

Without this permission, users can still assign existing tags, but won’t see options to create, edit, or delete them.
